Opportunity: Our client, a well-established and values-driven
family office, is seeking a discreet and highly organized Records
Administrator to support leadership and oversee the development of
a secure, scalable file management system using Egnyte. This is a
unique opportunity to contribute at the intersection of executive
support and records governance in a close-knit, multi-entity
financial environment. The ideal candidate has experience working
in private wealth management, legal, or financial services, with a
keen understanding of the importance of confidentiality, structure,
and precision. You'll take ownership of building and managing a
digital file server architecture that reflects how the family
office does business-across entities, functions, and sensitive
areas of operation. Key Responsibilities of the Records
Administrator: Provide high-level administrative support to
leadership, including calendar coordination, document preparation,
and internal communications. Serve as the internal Egnyte expert,
leading the design and implementation of a new file structure
tailored to the family office's unique workflows and organizational
entities. Establish and manage folder-level and group-based
permissions in Egnyte, ensuring appropriate access controls for
sensitive information across financial, legal, and personal
domains. Migrate and organize legacy documents into a cohesive,
intuitive file system with minimal disruption. Create and maintain
documentation around folder architecture, naming conventions,
versioning protocols, and retention guidelines. Act as the go-to
person for file system support and troubleshooting, including
onboarding and training of new team members on Egnyte usage and
best practices. Collaborate with finance, legal, compliance, and
operations staff to align records systems with daily processes and
long-term needs. Maintain a high level of discretion,
trustworthiness, and adaptability while supporting both strategic
and hands-on work. Qualifications: 5 years of experience in a
records management, administrative support, or executive assistant
role, ideally within a family office, private wealth firm, legal
practice, or financial services setting. Proven experience managing
file systems and permissions within Egnyte is required. Strong
technical and organizational skills with the ability to build
logical, user-friendly directory structures from the ground up.
Exceptional attention to detail, confidentiality, and judgment.
Proactive communicator comfortable working independently with an
in-office flexibility environment Adept at balancing executive
support duties with strategic records management responsibilities.
Nice to Have: Experience working in a family office or private
investment environment. Familiarity with compliance and
confidentiality standards in wealth management. Exposure to
document retention policies, SOP development, or light IT
